​Special Event Information  

The BWG Public Library & Cultural Centre - West Lawn (425 Holland Street West) is available for permitting for select outdoor events: 

What is permitted:

  • Community based events (event open to the whole community, not targeted towards a specific group)
  • Not-for profit events
  • Events with an attendance of 1000 people or less
  • Events taking place between May-September
  • Events that occur within a time frame of daylight (this property does not currently have lights)

What is not permitted:

  • Commercial events
  • Events between October-April (or any event date that conflicts will existing programming at the BWG Leisure Centre or Library)
  • Inflatables 
  • Events with entrance fees
  • Events targeted towards a specific group
  • Alcohol
Please note that this space has no power or designated resources (i.e. tables or chairs). If you require power you will need to bring in a generator. ​
Permit holders are required to provide their own tables and chairs. 

The cost to permit this property is $240+HST per day

*Propsal forms must be submitted a minimum of 90 days prior to the requested event date in order to be considered. 


Special Event Requirements

Certificate of Insurance
All events that involve a road closure or take place on municipal property must provide the Town of Bradford West Gwillimbury with a certificate of insurance, general liability, minimum 2 million (listing the Town of Bradford West Gwillimbury as an additional insured). The certificate of insurance must be submitted to the Leisure Events & Marketing Supervisor by e-mail at events@townofbwg.com or by mail at 125 Simcoe Road, PO Box 160, Bradford ON, L3Z 2A8 a minimum of 60 days prior to your event.

Site Plan
A site plan of your event must be submitted to events@townofbwg.com a minimum of 30 days prior to your event in order to obtain approval.

Simcoe Muskoka District Health Unit Application & Permits
Any event that includes food require event organizers to submit a 'Coordinator Application Event Form' to the Simcoe Muskoka District Health Unit. Each food vendor at the event will also be required to submit a 'Vendor Application for Event Permit'.

Approval for Road Closure
In order to obtain an approval for a road closure all 2023 Road Closure Requests must be submitted to the Leisure Events & Marketing Supervisor by December 23, 2022.

Parade Permit
Upon approval of the road closure, event organizers must submit a Parade Permit Application and Parade Waiver to the South Simcoe Police Services, a minimum of 60 days prior to your event. Event organizer will also be required to secure Paid Duty Police as directed by the South Simcoe Police Services.​

Signage
Upon approval from the Director of Community Services, event organizers are permitted to place a maximum of 75 ground signs (max size is 24" X 24") with the following conditions:

  1. Placed no sooner than 21 days prior to event and removed within 48 hours of the event
  2. Not placed within 10 metres of another posted sign
  3. Not placed within 10 metres of a driveway or intersection
  4. Written permission of property owner, if placed on private property
  5. If placed on boulevards, placed adjacent to sidewalk not adjacent to the road to protect driver sightlines

Please submit a digital copy of your sign design to events@townofbwg.com a minimum of 60 days prior to your event in order to obtain approval.

Business Licensing
As per the Town's Business Licensing By-law 2014-70, all food vendors that are considered to be a refreshment vehicle or refreshment cart will require a temporary Business License from the Town of Bradford West Gwillimbury.

 The definition of a Refreshment Vehicle in the Town of Bradford West Gwillimbury's Business Licensing By-law 2014-70 is a vehicle which is used or is designed to be used for the sale of refreshments and includes a Motorized Refreshment Vehicle and a refreshment cart. The definition of a Refreshment Cart in the Town of Bradford West Gwillimbury's Business Licensing By-law 2014-70 is a conveyance or device, other than a Motorized Refreshment Vehicle, which is used or is designed to be used in connection with the sale, transportation, storage or cooking of refreshments to the public.

To obtain a temporary business license the applicant must provide the documentation listed below and pay the prescribed fee of $75. The application and required documentation must be submitted to the Licensing Officer in a timely manner to ensure proper approvals and inspections are complete.

Not all of the documentation listed in Part B of the Application form needs to be submitted. The list below is what is required:

  • Completed Application Form
  • Photo Identification
  • Health Unit approval
  • Safety Standards Certificate for Vehicle (not required for a refreshment vehicle)
  • Certificate of Insurance

If the vehicle is already licensed in the Town of Bradford West Gwillimbury, an additional license is not required. If the vehicle is licensed for the year in a different municipality, the license from that municipality along with the documentation listed above and prescribed fee can be accepted by the Licensing Officer.

Additional Information
Depending on the scope of your event you may require to obtain additional approval and meet the requirements from, but not limited to, Municipal Building Department requirements, Municipal By-Law Department requirements, and permits associated with the Alcohol and Gaming Commission​.


Special Events that occur on private property that exceed 2000 people are subject to the Town's Special Event By-law and approval by Council.
